The Challenge

Barlow & Partners runs twelve concurrent construction sites, predominantly residential and light commercial projects across the Midlands. The site management model had grown organically: a WhatsApp group per site, weekly spreadsheet updates sent to head office, and a Friday round-up call that consistently turned into a crisis-management session.

Senior leadership's view of the portfolio at any given moment was whatever they had last been told. By the time a delay or shortage surfaced, it had typically been building for days.

What We Built

Rather than a custom build, we configured and extended an existing productized platform designed for construction site management — adapting it to Barlow's project types, approval workflows, and reporting structure. Site managers got a mobile-first interface for daily status updates, material requests, and issue logging. Leadership got a portfolio-level dashboard with automatic flagging of anything stalled for more than 24 hours.

Deployment was phased over three weeks, site by site, with a two-hour onboarding session per site manager. No previous software experience was required.

The Outcome

Within two months, reactive crisis calls dropped by two-thirds. The average time from issue raised to resolution fell from eight-plus days to two days, because issues were visible before they compounded. The Friday call changed character: instead of a triage session, it became a forward-looking planning review.

This project was delivered under our Productized Software practice.
